BWL wins £5m contract for Kent-based cleaning contractor

BWL Group has supported a Kent-based facilities management (FM) contractor, to secure a £5m contract with Thinking Schools Academy Trust.

Following the engagement of BWL Professional Bid Services in March of this year, our client secured their largest contract to date.
The Thinking Schools Academy Trust (TSAT) bid for school cleaning services covered three geographical lots and was valued at £5m over five years. The Trust consisted of four primary schools and four secondary schools across Kent, with one located in Medway.
This tender was a must win for our client as it included schools that were in close proximity to their Head Office. Their sister company also supplied cleaning consumables to the Trust, providing our client’s team with knowledge of TSAT’s expectations, processes, and procedures.
Drawing on our extensive bid management and bid writing experience and having supported our client with previous SQs and ITTs, we assessed the tender submission requirements and allocated an experienced Bid Manager to complete all technical responses associated with the bid.
Our Bid Manager storyboarded and developed 14 quality responses, an SQ, and supporting documents including an executive summary, contract specific training programme, and CVs. This included using our client’s feedback from site visits to enhance each response. As our team had successfully supported our client with similar submissions in the past and having developed a comprehensive tender library of existing responses, our client benefitted from efficiencies in the bid process from a time and cost perspective.
As an element of added value, we managed the tender portal on behalf of our client, raised queries, maintained a clarifications log, and ensured our client had the most up-to-date documents through efficient document control. We also facilitated site visits and submitted the final bid through the portal.
With our Bid Manager focused on crafting the quality responses and managing the portal, our client’s Directors were able to focus on reviewing TSAT’s TUPE requirements and complete the pricing schedule. Through our collaborative and informed approach, we produced a compelling and winning bid. This contract win will play a pivotal role in supporting our client’s ambitious growth strategy, which is to achieve a £5 million turnover within the next three years.
